Who we are
Ordeer is a point of sale platform for hospitality and retail businesses. Ordeer is a product and trademark of Codeer Labs Ltd. This policy explains how we handle information when you visit ordeer.co.uk, contact us, or use Ordeer software and services.
Where this policy describes information that we decide how and why to use, Codeer Labs Ltd is the controller. We are registered in England and Wales under company number 17110059, with our registered office at Studio 9, 50-54 St Paul's Square, Birmingham, England, B3 1QS.
For anything about privacy, write to info@ordeer.co.uk or call 0333 091 5005.
The two roles we play
Because Ordeer is a point of sale product, we handle information in two different capacities, and your rights work slightly differently in each.
As a controller. When you browse our website, send us an enquiry, book a demo or become our customer, we decide how that information is used, and this policy applies directly.
As a processor. When a business runs Ordeer, it puts its own information into the software: products and menus, orders, staff details, and details of its customers. That information belongs to the business. We handle it on the business’s instructions in order to provide the service, and the business remains responsible for it under data protection law.
Information we collect
Information you give us
- Enquiries and demos. Our contact form asks for your name, business email, phone number and message. Calls, emails and WhatsApp messages you send us naturally include whatever you choose to say in them.
- Live chat. The chat on this site is provided by tawk.to. What you type there reaches us through tawk.to, together with any name or email address you choose to give. If you start the chat from one of our suggested questions, that question is passed along too, so we can see what you asked.
- Becoming a customer. When we set Ordeer up for your business, we collect the details needed to do it: your business name, contact details, and the account details we create for you and your staff.
Information from your business’s use of Ordeer
- Business data. Products, menus, prices, stock levels, orders, transactions and reports created as your business trades.
- People in your business data. Staff details your business adds to run the till, and customer details your business records, for example on orders. As section 02 explains, we process these on your business’s behalf.
Information collected automatically
- Cookie choices. One necessary cookie that remembers the choices you make in our cookie panel. Details are in section 05.
- Analytics. Only if you opt in: identifiers and usage information that help us understand how the site is used. Also in section 05.
- Live chat connection. While the chat is loaded, because you allowed it in the cookie panel or because you started a chat, tawk.to receives the technical information needed to run it, such as your IP address, browser type and the pages of this site you view during the conversation. Also in section 05.
- Technical logs. Like most websites, the systems that serve ordeer.co.uk keep short-lived technical records of requests, such as IP address, browser type and pages requested, used for security and to keep the site running.
What we do not collect
Our website takes no payments and stores no payment card details. Where card payments form part of an Ordeer setup, cards are handled by the payment terminal and the payment provider’s systems, not typed into our website.
How we use information
UK data protection law requires a lawful basis for every use of personal information. Ours are set out below. We do not use your information for anything unrelated to running Ordeer.
| What we use information for | Lawful basis |
|---|---|
| Responding to enquiries, demo requests and questions | Legitimate interests: answering the people who contact us |
| Providing Ordeer software and services to your business, including setup and account management | Performance of a contract |
| Support and troubleshooting when something needs fixing | Performance of a contract, and our legitimate interest in a working product |
| Keeping the website and services secure, and preventing fraud and abuse | Legitimate interests: protecting the service and its users |
| Billing and administration for paid services | Performance of a contract, and compliance with legal obligations |
| Understanding how the website is used (analytics) | Consent: runs only if you opt in, and you can withdraw at any time |
| Keeping the live chat connected in the background, so the site can show when we are online | Consent: runs only if you opt in, and you can withdraw at any time |
| Keeping records the law requires us to keep | Compliance with legal obligations |
Where we rely on legitimate interests, we balance them against your rights, and you can object at any time (section 10).
International transfers
We are a UK business, and Ordeer serves businesses in the UK and the USA. Some of the providers described in section 06 may process information outside the UK.
Where information leaves the UK, we rely on the safeguards UK law provides for such transfers, such as adequacy regulations or approved international data transfer agreements, so that it stays protected to a UK standard.
How long we keep information
We keep information only as long as it is needed for the purposes in section 04, and then delete or anonymise it. In practice:
- Enquiries. Kept while we deal with your enquiry and for a reasonable period afterwards in case you come back to us.
- Customer accounts. Kept for the life of the relationship, then for the periods that tax, accounting and other laws require.
- Business data in Ordeer. Held for as long as your business uses the service, on your business’s instructions.
- Cookies. The consent cookie lasts 6 months; analytics cookies, if you allow them, last up to 13 months; live chat cookies last for your browser session, or up to 6 months for the one that recognises a returning visitor (section 05).
How we protect information
We use appropriate technical and organisational measures to protect information, including encrypted connections to our website and controls over who can access what, and we keep those measures under review.
No online service can honestly promise perfect security, so we will not. If a breach ever put your rights at risk, we would tell you and the ICO as the law requires.
Your rights
Under UK data protection law you can ask us:
- for a copy of the personal information we hold about you (access);
- to correct information that is wrong or incomplete (rectification);
- to delete information we no longer need (erasure);
- to limit what we do with it while something is resolved (restriction);
- to stop using it where we rely on legitimate interests (objection);
- for a machine-readable copy of information you gave us (portability);
- to withdraw consent at any time, for example for analytics.
To use any of these, contact info@ordeer.co.uk. We may need to confirm who you are, and we respond within the time the law sets, normally one month. If your information sits in a business’s Ordeer system rather than with us directly, the quickest route is that business; we will help them answer you.
You can also complain to the Information Commissioner’s Office at ico.org.uk. We would welcome the chance to sort things out first.
Marketing
We do not currently send marketing emails. We contact you about your enquiry, your demo or the services you use. If we introduce marketing communications in future, we will send them only where the law allows and always with a simple way to opt out.
Children
Ordeer is made for businesses. Our website and services are not directed at children, and we do not knowingly collect information about them.
AI and automated decisions
Some Ordeer features use automation and AI to save businesses time. We do not make decisions about you by solely automated means that would have legal or similarly significant effects on you.
Separately, and as our footer notes, some images on this website have been created or edited using AI.
Other websites and services
Our website links to other sites, and Ordeer can work alongside third-party services that a business chooses to connect. Those products have their own terms and privacy policies, and information shared with them at your or your business’s direction is governed by those policies, not this one.
Changes to this policy
When this policy changes, we will publish the new version here and update the date at the top of the page. If a change materially affects you, we will take reasonable steps to bring it to your attention.
